Unpacking What I Do & How I Do It
I’m often asked the question “What do you actually do for your clients?” - and it can be a tricky one to answer!
No two days, nor two clients are ever the same. Those who come to me for support have diverse needs, and I pride myself on my ability to adapt my ways of working to properly suit them.
To give you an idea of what I do, I’ve created six fun profiles inspired by the unique ways my clients work with me!
People’s needs can shift from day to day, even hour to hour - so you might find you relate to more than one of the profiles below. I can be all six before lunch!

Quietly industrious and focused, the Mouse prefers to keep things low-key while working.
IRL: Alex the Mouse thrives on accountability and keeping a calm environment while they chip away at writing their PhD. I provide a steady, quiet presence in the background, checking in before and after their calls to set goals and reflect on their progress. Knowing their VA will be actively checking in on their progress motivates Alex to open their laptop and get started, while the dedicated time together helps them focus without their work playing on their mind all week.
Why it works: This approach provides Alex with the accountability and structure they need to make consistent progress, while creating a calm and supportive environment that keeps them motivated and focused.
The Hedgehog is timid and cautious, often feeling overwhelmed or unsure about how to begin.
IRL: Lucy the Hedgehog came to me feeling buried under a mountain of tasks and unsure where to start. She was nervous about asking for help and struggled to explain exactly what she needed. After some bad experiences with support in the past, Lucy also felt fearful about being judged, and the idea of video calls made her anxious.
I created a safe and supportive space, gently encouraging Lucy to share at her own pace. We started small — breaking tasks into tiny, manageable steps — and now we are slowly and carefully making big leaps in progress. Some days, it’s just about giving Lucy a reassuring ear when things feel overwhelming.
Why it works: By taking things slow and communicating in a way that helps Lucy feel comfortable and in control, I take the time to build trust and confidence, showing Lucy she doesn’t have to tackle everything alone.
Light and spontaneous, the Butterfly prefers to flit in and out as needed.
IRL: Phoebe the Butterfly only reaches out occasionally - but when she does, she knows I will get the job done! From finding a new GP, to sourcing a furniture repairer, Phoebe’s tasks are often one-offs. She prefers to send a quick email and disappear back into her busy family life while I work away in the background - and that’s exactly how she likes it.
Why it works: Flexible, reliable email-based support lets Phoebe communicate in a quick and efficient way that fits her no nonsense lifestyle.
The Squirrel is energetic, busy, and thrives on structure.
IRL: Hannah the Squirrel schedules weekly two-hour sessions to tackle her ever-growing to-do list. One moment they’re quietly working — with Hannah writing emails while I do a deep-dive research task or make calls to reschedule an appointment for her — and the next, we’re brainstorming and strategising to try and reduce Hannah’s overall overwhelm.
Why it works: Having a collaborative, focused and efficient VA matches Hannah’s go-getter personality, helping her make steady progress each week.
The Owl is wise, hardworking, and deeply focused on their purpose, but can feel overwhelmed by all the admin flapping around them.
Story: Sophie the Owl is an allied health practitioner who puts her heart and energy into helping her clients. With her focus on making a difference, the details — like chasing invoices, managing intake, or responding to email queries — can pile up quickly. This is where I swoop in to handle the behind-the-scenes work, ensuring Sophie can focus entirely on her clients.
Why it works: By managing the admin load, having a VA helps Sophie to channel her time and energy into what matters most — supporting her clients and making a meaningful impact.
The Tortoise is steady, patient, and focused on slow but meaningful progress.
Story: James the Tortoise, has a big project to complete over several months and needs consistent, long-term support. Whether it’s planning timelines, or tracking milestones, James relies on VA support to keep everything on course. By taking things slow and steady, James remains on track to win the race against time for his big deadline.
Why It Works: Having a VA ensures nothing slips through the cracks, providing steady support to help him achieve his goals while ensuring his project is on track to meet its due date.
